Graduation 2017: assistants needed

Summer graduation ceremonies will take place on Wednesday 5, Thursday 6 and Friday 7 July 2017.
Graduation is a celebratory event at the culmination of students’ studies. Everyone attending on the day is a guest of the University and we want them to feel welcome and have the best experience possible.
The Graduation Office is looking for people who are willing to help greet and host guests attending on the day. It’s a special day for many students and their families and the roles of marshals help to ensure everyone has a great graduation experience.
If you are interested in helping, please look at the attached role descriptions and complete the attached graduation marshal application form no later than Tuesday 16 May 2017.
The Student Graduation Ambassador application form is also attached if you are aware of any students that wish to work at graduation.
General information
Training
All marshals will be briefed and training sessions may be provided.
Health and Safety test
Marshals will be required to complete an online health and safety test prior to the graduation ceremonies, which will be provided at a later date.
Pay and working hours
All external Marshals, if not permanent employees of the University, will be paid £7.50 an hour and may be required to work 8:00am-6:00pm. Please note working hours varying depending on your role allocated.
Human Resources have advised us that other staff should only be paid for days on which they would not normally be working elsewhere in the University. We are unable to offer half days of work to those outside of University Staff.
Lunch
A voucher for lunch will be provided each day, which can be exchanged in the marshal catering area on the London Road campus between 12.00pm and 2.30pm each degree day. You will not be paid for your lunch break.
Academic Dress
Academic Dress (if appropriate) will be ordered by the Graduation Office for University staff. If you need to hire robes, please indicate this on your form. Usher robes are available for non-University staff marshals. Students will be provided with an ambassador uniform.
Parking
Marshals should park on the Whiteknights campus and take the shuttle bus service to London Road. Buses will be running from 8.00am until 6.00pm on all days.
Entitlement to work in the UK
In accordance with Home Office regulations, ALL marshals who have not worked at Graduation since December 2008 or have renewed their documents since they were checked, and who are not permanently employed at the University must provide evidence that they are permitted to work in the United Kingdom. The Graduation Office is required to check your documents and make copies, which will be signed, dated and retained for the duration of your employment.
Typically your passport and proof of NI number is all that is needed, but a full list of the documents you can use are listed on the Document Checking page.
Please bring the relevant documents to the Graduation Office, Building LO28, Room G02, London Road Campus (between 9am-4pm each day). Please contact Graduation if you are unable to come to the office before Friday 9 June 2017.
